Marketing Operations Specialist

We are hiring a Marketing Operations Specialist to own the systems, data, and workflows that power our marketing engine. This is a hands-on role for a builder who loves turning chaotic, manual work into clean, automated processes and who wants to see their work measured in pipeline quality, campaign velocity, and data reliability.
You will be the single technical owner of Salesforce CRM, Salesforce Marketing Cloud, and other Martech stack integrations. You will run the operational backbone behind our events, email journeys, and landing-page experiments, and you will partner daily with marketing, sales, and events leads to ship campaigns faster with fewer errors.
Key Responsibilities
This role is organised around six operational pillars. You will own each end-to-end, from build to measurement to iteration.
Salesforce CRM Ownership
Data hygiene: own lead, contact, and account data quality across the full-funnel demand engine. Manage duplicates, standardise fields, define enrichment rules, and handle bounces and unsubscribes.
Segmentation: design and maintain list views, reports, and dynamic segments for ABM, nurture, events, and sales prospecting.
Lead workflows: build and maintain lead assignment rules, scoring, routing, SLA alerts, and hand-off logic between marketing and sales.
Automation: use Flows, Process Builder (where still active), and validation rules to remove manual steps from the funnel.
Reporting: build dashboards for funnel velocity, campaign attribution, MQL/SQL conversion, source performance, and data-quality KPIs.
Salesforce Marketing Cloud Operations
Campaign builds: configure audiences, content blocks, dynamic content, send-time optimisation, and deliverability best practices for recurring and one-off sends.
Journey automation: design and maintain multi-step journeys (welcome, nurture, re-engagement, event follow-ups, trigger-based flows) in Journey Builder.
Event communications: own the email build, preference management, reminder cadence, and post-event sequences for webinars, field events, and conferences.
Deliverability & compliance: monitor sender reputation, manage suppression lists, and ensure GDPR / CCPA / DPDP compliance across all sends.
Tool Integrations
Stack connectivity: build and maintain integrations connecting Salesforce, Marketing Cloud, landing-page tools, event platforms, Slack, Google Sheets, and spreadsheets.
Eliminate manual work: audit the team's recurring manual tasks quarterly; replace them with reliable automations.
Monitoring & reliability: document every integration, set up error alerts, and maintain a register of owners, purpose, and upstream/downstream systems.
Governance: keep MarTech costs rational (consolidate, retire unused interations, move high-volume flows to native integrations when appropriate).
Event Marketing Operations
Landing pages: build and maintain event registration landing pages (Salesforce / Webflow) with clean UTMs, form logic, and tracking.
Registration data: own the data flow from form to CRM to campaign record - including data capture, routing, and invitee segmentation.
Pre-event sequences: configure reminder emails, calendar invites, speaker briefings, and waitlist management.
Post-event sequences: deliver attended vs. no-show flows, content follow-up, lead scoring adjustments, and sales hand-off within agreed SLAs.
Event analytics: report registrations, attendance, influenced pipeline, and cost per registered/attended/qualified lead.
Marketing Admin & Coordination
Trello calendar management: maintain the marketing editorial and campaign calendar – Trello automation through stages, tagging owners, and flagging risks.
Planable coordination: manage the social and content approval workflow in Planable - scheduling, reviewer routing, and version control.
Loom process documentation: record Loom walkthroughs of every process you own; maintain a searchable library of SOPs so the team is not dependent on tribal knowledge.
Meeting and rituals support: prepare weekly marketing operations updates, blockers, and system-health summaries.
Analytics Support
Conversion rate optimisation on landing pages: deploy and maintain Hotjar tracking on key landing pages; surface heatmap and recording insights to the content and design team.
AEO monitoring: track rankings, backlink health, and content performance; flag opportunities for AEO (Answer Engine Optimisation) and traditional SEO.
AEO readiness: support structured-data, schema, and content-format updates that improve visibility in AI answer surfaces (Google AI Overviews, Perplexity, ChatGPT, etc.).
Cross-stack reporting: pull unified views of web, campaign, CRM, and event data for monthly marketing reviews.
Required Qualifications
Experience: 3–4 years in a marketing operations, CRM admin, or marketing automation role at a B2B or SaaS company.
Salesforce CRM: proven hands-on administration - Flows, reports, dashboards, validation rules, sharing, data management. Salesforce Administrator certification (ADM-201) strongly preferred.
Salesforce Marketing Cloud/ Pardot: demonstrable experience building campaigns and journeys. Email Specialist or Marketing Cloud Administrator certification is a plus.
Tech Stack integration: can articulate error handling, filters, and multi-step logic.
Analytics: comfortable with GA4, Google Tag manager, Hotjar, SEO/ AEO tool, and Salesforce dashboards.
Event operations: previously owned at least two end-to-end event campaigns including landing page, registration, and follow-up in salesforce.
Communication: fluent written and spoken English; clear, concise, and comfortable writing SOPs and recording Loom walkthroughs.
Working style: detail-oriented, deadline-disciplined, and able to work asynchronously with EU / US/ AUS colleagues.
Preferred (Nice-to-Have) Qualifications
Marketing Cloud Email Specialist or Administrator certification.
Experience with ABM platforms
SQL basics for marketing reporting.
Familiarity with AEO / GEO (Generative Engine Optimisation) and schema.org markup.
Experience with native Salesforce integrations or Make.com / n8n.
Prior experience supporting a marketing team distributed across time zones.
